7 productivity hacks you need right now: how to thrive in busy seasons

By Monique Farmer, APR

Let’s be real: some seasons feel like you’re sprinting through a marathon—with a full inbox, a calendar that’s bursting at the seams and to-do lists that seem to reproduce overnight. Whether it’s event season, end-of-quarter crunch, or just the beautiful chaos of juggling career, family and everything in between—these moments can stretch us thin. But here’s the truth I’ve come to learn: it’s not just about surviving those seasons. It’s about thriving in them.

Yes, thriving.

Now, I know what you’re thinking. How do I thrive when I’m one email away from a full-on meltdown? The answer lies in a few simple, soulful, and strategic productivity hacks that keep you grounded, energized and in control—even when the pressure is dialed all the way up.

So, grab your coffee (or tea or glass of wine), take a deep breath and let’s walk through the hacks that’ll help you win in your busiest seasons.

1. Prioritize with a Purpose

Think of your to-do list like a buffet. Just because it’s all laid out doesn’t mean you need to pile everything onto your plate.

Start each week by identifying your “Top Three” priorities. Ask yourself:

  • What truly has to happen this week?

  • What will move the needle or make the most impact?

Then—this part is key—protect time on your calendar for those three things. If it’s not one of your Top Three, it can wait. This isn’t about doing all the things. It’s about doing the right things.

2. Time Block Like a Boss

You know that productivity high you get when you knock out a bunch of tasks in one focused sprint? That’s time blocking at work.

I treat my calendar like sacred real estate. I block off chunks for productivity, creative work, meetings and walk breaks (because fresh air is in the productivity toolbox too). Try this:

  • Start with your energy highs. When are you naturally most alert? That’s when you do your deep work.

  • Then batch your admin tasks—like email or editing—into a time block.

  • Add buffer time between meetings. No more calendar tetris!

This hack helps you stay focused, say “no” with grace and protect your energy from the chaos that creeps in.

3. Delegate or Drop It

I had to learn this the hard way: Just because you can do something doesn’t mean you should.

When you’re in a high-pressure season, ask yourself:

  • Can someone else do this at least 80% as well as I can? If so, delegate it.

  • Is this task aligned with my current priorities? If not, drop it—or defer it to a quieter time.

Delegation is not a sign of weakness. It’s a power move. It frees you up for what only you can do—and builds trust with your team or collaborators in the process.

4. Turn Down the Noise

We don’t just battle to-do lists—we battle distractions. And in busy seasons, distractions are dream-killers.

Try these micro-hacks:

  • Silence notifications during deep work blocks.

  • Close your email tab—just for an hour, I promise. You will survive!

  • Limit meetings. Could this be a voice text, email or a Loom video? If yes, you just bought yourself 30 minutes of precious focus time.

Create an environment that honors your focus. Your future self will thank you.

5. Anchor Yourself in a Morning Routine

Busy seasons require strong roots. That’s where your morning routine comes in.

I’m not saying you need to journal for an hour and meditate on a mountain (unless you want to—then go for it!). But a 10-minute routine that grounds you can work wonders. Mine includes:

  • Stretching

  • A moment of quiet gratitude

  • Reviewing my Top Three for the day

  • Listening to your Living Vision

The goal? Start from a place of intention, not reaction.

6. Keep a Wins List

Here’s a soul-hack: keep a running “wins list.” Every time you complete something—big or small—write it down.

Why? Because in the thick of busyness, we forget how far we’ve come. We overlook our progress. A wins list helps you stay encouraged, motivated and reminded of your impact. It’s like a highlight reel of your own success.

7. Give Yourself Permission to Pause

I saved the most important hack for last: build in breaks.

Burnout doesn’t come from hard work—it comes from nonstop work. And you, my friend, are not a machine. You’re a whole human being with a brain that needs space to breathe.

So pause. Breathe. Step outside. Sip something warm. Laugh. Call a friend. Rest is productive. Reflection is productive. Stillness is strength.

Your Busy Season Is Temporary, But Your Impact Is Lasting

High-pressure seasons are not a sign you’re failing—they’re proof you’re doing meaningful work. But thriving through them requires strategy, soul and a sprinkle of grace.

Efficiency isn’t about rushing through your days—it’s about rising with clarity, confidence and care.

So here’s your reminder: You can do this. You’ve got tools. You’ve got power. And when you lead your time with purpose, you lead your life with peace.

Now go be productive—and take that break too.
